Glossaries

Below you will find lists of common words used generally in Procore or specifically within certain components. These glossaries are not exhaustive, but rather are meant to list the most common and recurring words within their context.

Add
When referring to adding “sub items” to existing created items (e.g. markups, related items). Or, when referring to adding people or companies to the Directory.
Configure
When referring to setting the admin preferences for each tool, the project, or the whole account.
Browser
Use browser when referring to a web based tool or feature. Use in the browser NOT on the browser
Checkbox
NOT check box or check-box
Copy
When referring to making a duplicate of an item or group of items.
Create
When referring to creating new items in Procore.
Delete
When referring to deleting an item from Procore where a user cannot retrieve it (e.g. Drawings, Locations, Daily Log).
Use Move to Recycle Bin when referring to moving an item to the tool’s Recycle Bin.
Distribute
When referring to notifying one or a group of people (by email, activity feed, etc).

Use Send when referring to only sending an email.
Download
When referring to downloading an item or group of items to your device.
Dropdown menu
NOT just “dropdown” or drop-down menu
Edit
When referring to changing or updating information in Procore.

Use Bulk Edit to refer to editing multiple items at once.
Email
Use email as a noun NOT as a verb. Use send to describe the act of sending an email, and receive to describe getting an email
Enable
When referring to turning on a feature, tool, button, or item.
Export
When referring to saving/exporting an item or group of items as a PDF/ CSV/BCF/etc file.
Field
An input on a form, often seen on an item’s Detail, Edit, and Create pages.
Field set
A group of inputs (fields) on a form, often seen on an item’s Detail, Edit, and Create pages.
Fill out
Fill out a fillable PDF.
Filter
When referring to finding information using the filter dropdown within specific pages in Procore.
Generate
When referring to the automatic creation of items from other items in Procore (e.g. generate submittals from specifications).

Use this verb only when it is an automatic function NOT when a user can create an item using another item's information (e.g. create a change event from an RFI).
Go
When referring to navigating to another place in the product.
This is most seen in button labels when it links to another page in the product (e.g. Go to Submittals).
Got it
When confirming that the user has acknowledged a piece of information presented within a non-permanent component on a page. Once the user clicks the “Got it” button, the component disappears.

This should be used only when the content presented is informational and there is no other call to action needed in the component.
Grant permissions
When referring to setting or changing access levels of a user or users in Procore.
Home screen
The introductory visual interface of a mobile app
Homepage
The introductory or default page of a web page
Icon
Use icon, NOT symbol when describing an interactive symbol
Import
When referring to bulk adding items to Procore from an import template.
Jobsite
NOT job site or job-site
Log in / Log out

verb
The act of logging in and out.
Example: Log in to Procore, Action Buttons: Log Out, Log In
Login / Logout
noun
A page / place where you are able to take the action of logging in or out.

Example: Procore login
Mark Up
verb
The act of adding markup elements to items such as submittals or drawings.

Example: Mark Up a drawing.
Markup
noun
The elements that can be added on top of items such as submittals or drawings.

Example: Add a markup to a drawing.
Move
When referring to changing the location of an item in Procore to another location in Procore.

E.g. Moving a file to another folder or moving an item to the Recycle Bin.
Mobile device
NOT mobile-device. Do not list out all possible devices, instead just say mobile device
Respond
When referring to replying to items in Procore.
Retrieve
When referring to taking an item from the Recycle Bin and putting it back in the tool’s list.
Review
To view and manage objects in the same action
Save
When referring to saving edits to an existing item.
Search
When referring to finding information using the search within specific pages in Procore.
Send
When referring to sending an email, sending feedback, or sending notifications.
Smartphone
NOT smart phone. Use mobile device when referring to any mobile device such as tablets and smartphones

Update
When referring to refreshing a page to view new content or edits made by someone on another device or screen.
Upload
When referring to uploading an item from your computer to Procore.
View
When referring to seeing general information of an item.

The expected or real cost impact associated with an item

Date / Time

Date
Date related to an item or workflow
Date Created
When an item was created
Due Date
When an item or workflow step is due
Date Updated
When an item was last edited or modified
Start Date
Date an item, workflow, project, work, etc began
Completion Date
Date an item, workflow, project, work, etc ended
End Date
Final date in a date range.
Date [Past Tense Verb]
Date something happened. E.g. Date Delivered
Hours
Hours related to an item or workflow

Description
Additional description about the item
Details
An expanded view of certain information in the item
Subject
The topic of an email

Email

Email Address
Email address associated with a person or group of people

Location

Location
Associated location from the project’s custom locations in the Admin tool

Number / Quantity

Number
The item number or other number. Can be shortened to # if space is limited.
Quantity
The number of objects being recorded that relate to the item

Person

Person
A user from the Directory tool
Contact
A user added as a contact to the Directory tool
Assignee
A person who is required to complete an action or workflow task related to an item in Procore
Person Affected
A person who is affected by an item or event being recorded. This pattern can be translated to other adverbs.
Creator
A person who created the item
[Noun]
Person who performs an action.
E.g. Receiver, Assignee, Initiator. For ease of translation, avoid using Received By, Assigned To, etc.
[Item] Manager
Person who oversees the workflow of an item
Role
The type of work a person does. E.g. Architect, Engineer

Phone Number

Phone Number
The phone number of a related company, place, or entity
Fax Number
The fax number of a related company, place, or entity

Priority

Priority
The urgency of an item or workflow

Private

Private
Often accompanied by a checkbox, a person checks this to hide the item from anyone except tool Admins and responsible people on an item.

Revision

Revision
The number or name of a version of an item where a change was made

Schedule Impact

Schedule Impact
The expected or real schedule impact associated with an item

Specification Section

Specification Section
A linked specification section from the Specifications tool

Status

Status
The step in a workflow or the status of an item

Name

Name
The full name of a person. See also: Person
[Item] Name
A user added as a contact to the Directory tool
First Name
The first name of a person
Last Name
The last name of a person

Trade

Trade
The type of industry associated with an item or entity

Type

Type
A classification of an item
[Item] Type
When there needs to be more distinction as to what the type is qualifying, add the item name before Type
